Who Is This Tool For?
- Distributed teams scheduling meetings across continents
- Sales professionals coordinating calls with international clients
- Event organizers planning global webinars or product launches
- Families and friend groups planning cross-time-zone gatherings
Scheduling a meeting across time zones is hard. You need a time that works for everyone—no one should be at 6am or 11pm. A meeting time finder lets you pick an hour and see what time it would be in each participant's zone, with quality labels showing if it's reasonable.
PlanDaily's Meeting Time Finder runs in your browser. Select the time zones of your participants, choose an hour and minute, and the tool shows what time it is in each zone with a Good/Early/Late/Night label. No sign-up required.
What Is a Meeting Time Finder?
Participant zones
You select the time zones of everyone who needs to attend. The tool remembers your selection so you can experiment with different meeting times.
Pick a time
You choose an hour and minute (e.g., 14:00). The tool calculates what time that is in each selected zone.
Quality labels
Each zone shows a label: Good (9am-6pm), Early (7-9am), Late (6-9pm), or Night. This makes it obvious if someone would be inconvenienced.
Why It Matters
Email chains trying to find a meeting time waste hours. 'Does 2pm work for you?' 'That's 10pm here.' A finder eliminates the back-and-forth by showing all zones at once.
It also prevents unfair burden. If you always pick a time convenient for your zone but terrible for a teammate, resentment builds. The quality labels make it obvious when a time is unreasonable for someone.
How to Use It
List participant zones
Before you start, know which time zones your participants are in. Add them all to the finder.
Start with a reasonable hour
Begin around 14:00 UTC (9am EST, 2pm London, 11pm Tokyo) and adjust. Look for windows where most zones show 'Good'.
Check the quality labels
Make sure no one is in 'Night'. If someone is, shift the hour until they move to at least 'Early' or 'Late'.
Prefer 'Good' for the majority
If you can't get 'Good' for everyone, aim for the majority. It's better to have 3 people in 'Good' and 1 in 'Late' than 2 in 'Night'.
Propose the time in UTC
When you share the meeting time, state it in UTC and ask participants to convert. This avoids confusion about whose zone is the reference.
Marcus needs to schedule a call with clients in New York, London, and Sydney. He opens PlanDaily's Meeting Time Finder and selects those three zones. He starts at 14:00 UTC and sees: New York 9am (Good), London 2pm (Good), Sydney 1am (Night). He shifts earlier: at 7:00 UTC, New York is 2am (Night), London is 7am (Early), Sydney is 6pm (Late). After experimenting, he finds 23:00 UTC works: New York 6pm (Late), London 11pm (Night)—still not great. He realizes there's no perfect window, so he proposes 13:00 UTC (New York 8am Early, London 1pm Good, Sydney 11pm Late) as the least-bad option and asks for feedback.
Common Mistakes
Always scheduling in your own zone. Just because 2pm is great for you doesn't mean it's reasonable for a colleague in Tokyo. Always check all zones.
Ignoring the day change. A meeting at 4pm Friday for you might be 9am Saturday for someone else. Check the date, not just the time.
Not stating the reference zone. 'Let's meet at 3pm' is ambiguous. Always say '3pm UTC' or '3pm New York time' so there's no confusion.
Practical Tips
- ✓For recurring meetings, rotate the time so the burden of awkward hours is shared across participants over weeks.
- ✓Use the time zone converter to see current times, then use this finder to plan a specific future meeting.
- ✓If there's truly no good window, consider asynchronous updates (a shared doc or recording) instead of forcing a live meeting.
- ✓State meeting times in UTC in calendar invites. Most calendar apps auto-convert to each participant's local time.
